What you can do after delivery
Use up to three recurring knowledge tasks with stable instructions without explaining your preferences and method again each time.
Personal and organisational AI
From a professionally configured assistant in an existing platform to a controlled knowledge and agent environment for an organisation. Synbuild selects the lightest architecture that can deliver the required result.
Approved knowledge
Documents, instructions and reusable methods.
The right information
Select context and respect rights.
Useful assistance
Support creation, retrieval and structured actions.
Human responsibility
Review decisions and consequential actions.
The practical result
It is a configured AI work environment that combines an LLM with selected context, memory, workflows and control.
Do you recognise this?
Every new chat needs the same explanation.
Methods, documents and earlier analyses are spread across different places.
Employees spend too long finding internal information.
Answers vary because people use different sources or versions.
Important knowledge disappears when someone leaves.
A general chatbot does not know which sources are authoritative.
Sensitive information should not be shared without clear boundaries.
Level 1
A professional configuration on top of ChatGPT, Claude or another suitable existing product. Synbuild provides the analysis, instructions, workflows, templates and handover—not a newly built AI system.
Use up to three recurring knowledge tasks with stable instructions without explaining your preferences and method again each time.
One instruction profile, task-focused roles or prompts, up to three workflows, output templates, safe-use guidance and a short user guide.
No large document database, automated integrations, organisation-wide rights, custom interface or automatic external actions.
Level 2
For professionals who want to reuse their own methods, formats and selected results. The environment may still use existing AI platforms, files or a repository.
Start new work from a reusable, exportable collection of instructions, methods, templates and approved outputs.
A structured knowledge repository, status distinction, three to five applications, tests, correction round, training and handover.
Large-scale search, advanced rights and automatic synchronisation remain limited; generated output is not approved knowledge by default.
Level 3
An explicit retrieval layer is introduced only when platform file features cannot provide enough control, scale, source management or measurable quality.
Ask questions about selected documents and receive traceable answers with used sources, relevant passages and visible uncertainty.
Document ingestion, metadata, hybrid retrieval where appropriate, citations, interface, test set, evaluation, logging and an update and deletion process.
RAG does not prevent hallucinations, poor documents produce poor answers and ongoing knowledge maintenance remains necessary.
Level 4
For multiple users, departments or processes requiring identity, rights, integrations, logging, approval, monitoring and operational management.
Use selected business knowledge and bounded agents within predefined user rights, controls and approval paths.
Knowledge domains, role-based access, identity, integrations, specialist agents, audit trail, monitoring, backups and management agreements.
Not every task is suitable for autonomous execution; production use requires agreed monitoring, incident and continuity procedures.
Indicative levels and prices
All prices are indicative. We confirm the appropriate level and scope after intake.

| Retrieval and citations | Not standard | Limited | Yes | Yes |
| Users and rights | One user | Limited | Basic where scoped | Role-based |
| Integrations and actions | No | Limited | Optional or bounded | Integrated with approvals |
| Managed operation | Optional light support | Optional | Optional | Recommended |
Price depends on applications, source quality, document volume, security, integrations and management requirements. Business integrations, private infrastructure and complex governance require a scoped proposal.

The distinguishing PKA work is selecting context, structuring workflows and governing how knowledge and actions are used.
PKA = LLM + context selection + memory + workflows + control
Read how sources, context, memory, rights, evaluations and integrations make a PKA controllable.
Delivery
Applications, instruction profile, agent or workflow configuration and output templates.
Selected sources, structure, status classification and an update and removal process.
Working environment, test questions, result evaluation, user guidance and documented limitations.
Knowledge governance
Knowledge can be marked draft, reviewed, approved or deprecated.
Authoritative and secondary sources remain distinguishable.
Generated material becomes reusable only after review and explicit approval.
Owners, review dates and replacement relationships can be recorded.
Deleted or unauthorised sources must no longer influence answers.
Related decisions
Recommended when documents are sensitive, retrieval quality is uncertain, models must be compared or agents can take consequential actions.

No. The LLM generates responses, while the PKA layer determines which instructions, knowledge, workflow, rights, checks and tools apply. Read what sits outside the LLM.
Context includes instructions, selected knowledge, the user and task, process steps, relevant history, available systems, current operational data and governance rules. Read the context explanation.
More context can reduce relevance, introduce contradictory versions, increase cost and expose information a user should not see. A PKA selects what is relevant and permitted. See the full explanation.
They already provide more projects, memory, files, retrieval and context tooling. That makes simple PKA capabilities easier to configure. Synbuild adds value where method design, source governance, evaluation, portability, rights, integrations and operational control are still needed. Features and plan limits can change. Not automatically. Fixed instructions or built-in file features may be sufficient. Controlled retrieval becomes relevant when document volume, source management, citations, rights or measurable quality require it.
Yes. A small selected set may fit an existing platform or managed repository. Larger or more controlled collections may require ingestion, metadata, retrieval, citations and an explicit update and deletion process.
That depends on the selected provider, product, account type and settings. We answer this only for the proposed technical solution and record the applicable processing and retention terms before sensitive use.
Potentially. Existing SaaS, hybrid, European cloud, private cloud and local deployment can all be considered. The choice depends on sensitivity, functionality, continuity, budget and the ability to manage the environment.
A prompt package mainly defines instructions and formats. A knowledge assistant also manages selected sources, retrieval, status, citations, access and maintenance. We do not add the latter when a few well-configured workflows are sufficient.
PKA Business can support bounded actions through integrations. Permissions, validation, logging, approval and failure handling are required, and not every task is suitable for autonomous execution.
Sources need owners, versions and status. Replaced or deprecated documents are excluded from normal retrieval, while removal tests verify that deleted knowledge no longer affects answers.
Possible recurring costs include AI and storage usage, external licences, hosting, monitoring, backups, source maintenance, evaluations, support and changes. They are scoped for the selected architecture rather than hidden in one generic subscription.
It depends on applications, source readiness, document volume, integrations, security and acceptance testing. We confirm a schedule after intake instead of promising one duration for all four levels.
Only after the selected provider, storage, access, retention and processing arrangements have been assessed for the actual information and use case. Do not send confidential documents through the intake form.
Yes. The levels form a practical path, but an upgrade is based on new needs such as more sources, users, control, integrations or management—not on a forced technical sequence.
Reliability depends on the task, model, instructions, source quality and retrieval. We use test questions, citations and human review where appropriate, but do not promise that every answer is correct.
Ownership, licences, export and provider-specific limitations are made explicit in the proposal. We prefer exportable customer-controlled instructions and knowledge where the selected platform allows it.
Describe the application, users, documents and sensitivity. We will determine whether an existing AI platform, managed knowledge structure, retrieval layer or integrated application is proportionate.
